HuntReserve case study
From a stranger's inquiry to a paid, waivered, licensed hunting party without a single phone call.
- 9pipeline stages, drag-and-drop
- 1personal link per hunter: details, license, waiver
- 36database releases shipped to production
- 0paper waivers or chased phone calls
Hunting outfitters run bookings out of texts, spreadsheets and clipboards. We built HuntReserve so one inquiry becomes a confirmed, paid hunting party on its own.
Group hunts are an admin nightmare.
Every hunter in a party needs a signed waiver and a driver's license on file, the lead pays for the group, spots are limited and dates fill. Outfitters were chasing all of it by hand.
A multi-tenant booking platform.
HuntReserve gives each outfitter a branded inquiry form, a drag-and-drop pipeline, group hunts with per-hunter registration, AI license checks with e-signed waivers, Stripe payments, hunt offers and a hunter portal.
The platform does the chasing.
Every step sends the right email to the right person: invite, waiver signed, ready for review, approved, pay now, confirmed. Staff only step in to approve hunters and build the hunt.
Book a hunt, end to end.
This is a real run on our demo outfitter, Gator Creek Outfitters: one lead, three hunters, one payment.

01
A hunter asks
The outfitter's branded inquiry form, embeddable on their own website. A stranger requests a guided hunt in under a minute.
- Embeddable form
- Outfitter branding
-
02
It lands on the board
The inquiry arrives as a card on a drag-and-drop pipeline. Staff can mark pending, send a custom hunt, decline or block, and paid or completed stages update themselves from the booking.
- 9 stages
- Drag & drop
- Auto-advance
-
03
Build the hunt
One click turns the inquiry into a group hunt: hunt type, date, party size and price per hunter, with live spot counts so dates can't oversell.
- Group hunts
- Spot limits
-
04
The lead gathers the party
The hunt lead gets a private page to add everyone in the group. Each hunter gets their own link and their own registration.
- Lead page
- Per-hunter links
-
05
License, waiver, signature
Each hunter uploads a driver's license, which Claude vision reads for legal name, birth date and expiry. Then they read the full waiver and sign by drawing or typing. If the signed name doesn't match the license exactly, it won't go through.
- AI license read
- E-signature
- Name match
-
06
Staff approve
When the whole party has registered, staff get one email: ready for review. Every waiver, signature and license is on the booking, with approve or decline per hunter.
- Per-hunter approval
- Audit trail
-
07
The lead pays once
Approval sends the lead a single payment link for the whole group (approved hunters × price) through Stripe.
- Stripe
- One invoice
-
08
Booked, automatically
Payment flips the card to Paid, takes the spots and sends confirmations to every hunter and the outfitter. No one touched a spreadsheet.
- Auto-confirm
- Spots reserved
-
09
The emails do the chasing
Every step sends the right message to the right person, branded for the outfitter: add your hunters, complete your registration, you're approved, you're booked.
- Transactional email
- Branded
-
10
Fill the next date
Outfitters push a new hunt to past hunters in seconds: date, price and spots, emailed to the people most likely to book again.
- Hunt offers
- Repeat bookings
-
11
Hunters book again
Hunters open the offer, book their group, and keep everything in their own portal: hunts, waivers and their harvest map.
- Hunter portal
- Self-serve

Every touchpoint.

Good questions.
Is HuntReserve a Unified Marketing product?
Yes. We designed and built HuntReserve ourselves as a multi-tenant platform for hunting outfitters. Everglades Adventures in Florida was the first outfitter on it, and each outfitter gets its own branding and domain.
How does the driver's license check work?
When a hunter uploads their license, an AI vision model reads the legal name, date of birth and expiry. The waiver signature must match that legal name exactly, so every signed waiver is tied to a verified ID.
Do you build custom software like this for other industries?
Yes. The same pattern, a branded intake, a pipeline, self-serve registration, payments and automatic emails, fits any business that books groups, classes, tours or appointments.
