CRM and Automation · Email Marketing

Email that reaches the inbox and gets answered.

Authenticated sending, clean lists and automated follow-up built inside your CRM, so every lead gets the right message at the right time.

01Overview

What email marketing services should include

Good email marketing services start with plumbing, not copy. Before anyone writes a subject line, your sending domain has to be authenticated, your list has to be built on consent, and your CRM has to know who each contact is and where they came from. We run email inside the CRM as part of our CRM and automation practice, so every message is triggered by something real a customer did.

That is the difference between a newsletter tool and real email marketing services. A newsletter tool sends the same blast to everyone once a month. A CRM-based program sends a reply within minutes of an inquiry, reminds people before appointments, asks happy customers for a review, and wakes up leads who went quiet. Each email has a job, and each job has a number you can measure.

What you should get from email marketing services

  • Deliverability setup: SPF, DKIM and DMARC on your sending domain, with alignment checked.
  • List rules: consent captured at every signup point, clean imports and automatic suppression of bounces and unsubscribes.
  • Automated flows: welcome, lead follow-up, reminders, review requests and win-backs, built and tested.
  • Campaigns: newsletters and offers written in your voice, sent to the right segment.
  • Reporting: replies, bookings and sales by flow and campaign, not just opens.

If your CRM is not ready, our CRM implementation team sets it up first: fields, pipelines, forms and source tracking, so email has clean data to work from.

02Deliverability

Deliverability: the Gmail and Yahoo sender rules

Mailbox providers decide whether you reach the inbox, so any email marketing services worth paying for start with their rules. Google's email sender guidelines require every sender to set up SPF or DKIM and keep spam rates reported in Postmaster Tools below 0.3%. Senders of more than 5,000 messages a day to Gmail must also have DMARC, and their marketing messages must support one-click unsubscribe plus a visible unsubscribe link. Google recommends staying below a 0.1% spam rate.

Yahoo's sender best practices ask bulk senders to implement both SPF and DKIM, publish a DMARC policy of at least p=none, align the From domain with SPF or DKIM, support one-click unsubscribe, honor unsubscribes within 2 days and keep spam rates below 0.3%. We set every client up to meet these rules even below the volume thresholds, because they are where the industry is going.

Each flow has a trigger, a goal and a measured result, from first inquiry to booked appointment.
RequirementWhat it doesHow we handle it
SPFLists the servers allowed to send for your domainPublished and kept under the lookup limit as tools change
DKIMSigns each message so it cannot be altered in transitEnabled on your CRM sending domain, not a shared one
DMARCTells inboxes what to do when SPF or DKIM fail, and sends reportsStarts at p=none with reporting, tightened once mail aligns
One-click unsubscribeLets people leave from the inbox without visiting a pageList-unsubscribe header plus a visible link in every marketing email
Low spam complaintsComplaints are one of the strongest inbox signalsConsent-only lists, clear sender name, relevant segments
Dedicated sending domainSeparates marketing reputation from staff emailA subdomain for marketing so a bad campaign does not hurt daily mail

Buying or renting a list is the fastest way to wreck deliverability. Complaints spike, bounces rise and your domain's reputation suffers for months. We do not send to purchased lists.

03Why Unified

Why businesses choose Unified for email.

Email built into the CRM, by the team that builds the CRM.

  1. Built inside your CRM

We run email in GoHighLevel or a custom CRM, so every message is triggered by real behavior: an inquiry, a booking, a completed job. Contacts, consent and history live in one place, and nothing depends on exporting lists between disconnected tools.

  2. Deliverability handled properly

SPF, DKIM and DMARC are set up on your domain, aligned and monitored, with one-click unsubscribe in every marketing message. We follow the Gmail and Yahoo sender rules for every client, not only the ones sending at bulk volume.

  3. Flows before blasts

We start with the automated flows closest to revenue, like fast lead follow-up and appointment reminders, then add newsletters and offers. Each flow has a goal and a measured result, so you can see what email actually contributes.

  4. Writers who know your business

Our content team writes in your voice and works from real customer questions. Emails read like a helpful note from your business, not a template, which keeps complaints low and replies high.

04List rules

List rules and CAN-SPAM, in plain language

The FTC's CAN-SPAM compliance guide sets the baseline for commercial email in the United States. It is not optional, and hiring an agency does not move the responsibility: the FTC says you cannot contract away your legal responsibility to comply. Here is what the law requires, and the extra rules our email marketing services add on top.

What CAN-SPAM requires

  • Accurate header information that identifies who sent the message.
  • A subject line that reflects the content of the message.
  • A clear disclosure that the message is an advertisement, when it is one.
  • Your valid physical postal address in every message.
  • A clear way to opt out of future marketing email.
  • Opt-out requests honored within 10 business days.

The list rules we add

  1. Consent at every source. Website forms, booking tools and in-person signups state what people will receive.
  2. Separate transactional from marketing. Appointment confirmations and receipts go to everyone; offers go only to people who agreed.
  3. Suppress automatically. Hard bounces, complaints and unsubscribes are removed in the CRM, never re-imported.
  4. Clean old lists before sending. Contacts who have not engaged in a long time get a re-permission email or are retired.
  5. Segment by relationship. New leads, active customers and past customers get different messages.

This is not legal advice. Regulated businesses such as healthcare practices should also review what personal information goes into email content and keep sensitive details out of marketing messages.

05Flows

The email flows to build first

Automated flows do most of the work in email marketing services that pay off, because they reach people at the moment they care. We build them in priority order, starting where money is closest. Each flow is mapped in the CRM with triggers, delays, exit rules and a goal, and most connect to our intelligent workflows for tasks, texts and alerts to your team.

Abandoned cart (ecommerce)Cart started, not finishedRecover salesFirst for stores

Review requests go to every customer, never only the happy ones, and they are opt-in. Filtering who gets asked based on expected sentiment breaks platform rules. Our Google reviews guide covers the ask scripts and timing we use.

Newsletters still matter, but they work best when they carry real substance: answers to the questions customers ask, seasonal advice and proof. Our content marketing team writes them, using the same planning as our content marketing strategy guide. Clear, factual answers also tend to travel further; our guide on how to rank in ChatGPT explains why the same writing helps AI search.

06Proof

Email marketing services backed by systems we built

Our email marketing services grow out of the CRM and software we build. For HuntReserve, a booking platform for guided-hunt outfitters, we built a custom CRM with 9 drag-and-drop pipeline stages and digital waivers. Every step sends the right email to the right person, from invite and waiver signed to pay now and confirmed, and outfitters have gone to zero paper waivers.

For Center for Spiritual Living in Fort Lauderdale, we migrated 732 events to a custom AI-assisted events platform, giving the community one place to announce and promote what is coming up. For Nusbaum Medical Centers, our tracking recorded 1,645 inquiries in the past 12 months, each tied to its source. Every one of those inquiries is a contact a follow-up flow can reach within minutes.

Questions to ask before hiring email marketing services

  1. Will you set up SPF, DKIM and DMARC on our own domain, and show us the results?
  2. How do you capture consent, and where is it stored?
  3. Which flows will you build first, and what is each one measured on?
  4. Do you report on bookings and sales, or only opens and clicks?
  5. Who owns the list, the templates and the automations if we part ways?

Red flags

  • An offer to sell or rent you a list of contacts.
  • Reports built only on open rates. Apple notes that Protect Mail Activity downloads remote content privately in the background when a message arrives, so opens overstate real reading.
  • Sending from a shared domain with no authentication on yours.
  • No plan for unsubscribes, bounces and complaints.

Email marketing services look different in every industry. Our ecommerce marketing page covers cart and post-purchase flows, and our healthcare marketing page covers privacy-aware patient follow-up. UnifiedIQ tracks every call and form back to its source, so email results connect to the leads that started them. When you are ready, talk to us about your list and your CRM.

07How we work

How an email engagement runs.

Authenticate, clean, automate, then measure what it earns.

  1. Step 01

    Audit and authenticate

We review your sending domain, list sources, CRM data and current emails. SPF, DKIM and DMARC are set up or fixed, a marketing subdomain is configured where it helps, and unsubscribe handling is checked end to end.

  2. Step 02

    Clean and segment

We import contacts with their consent source, remove bounces and duplicates, retire stale addresses or send a re-permission email, and build segments for new leads, active customers and past customers.

  3. Step 03

    Build the first flows

Lead follow-up and appointment reminders come first, then welcome, nurture, review requests and win-backs. Each flow is written, built in the CRM, tested on real devices and launched with a clear goal.

  4. Step 04

    Campaigns and reporting

Monthly campaigns go to the right segments. Reports show replies, bookings and sales by flow and campaign, plus spam rates and list health, with the next tests planned for the month ahead.

10Questions

Email marketing questions, answered.

What do email marketing services include?

They cover strategy, deliverability setup, list management, writing, design and automation. A complete program includes domain authentication, consent-based lists, automated flows such as lead follow-up, reminders and review requests, regular campaigns and reporting tied to bookings and sales.

What are the Gmail and Yahoo sender requirements?

All Gmail senders need SPF or DKIM and a spam rate below 0.3%. Bulk senders to Gmail and Yahoo also need DMARC, aligned sending domains and one-click unsubscribe, and Yahoo asks senders to honor unsubscribes within 2 days. We set every client up to meet these rules.

What does CAN-SPAM require?

The FTC's CAN-SPAM rules require accurate sender information, honest subject lines, disclosure when a message is an ad, a valid physical postal address, a clear opt-out and honoring opt-outs within 10 business days. Businesses stay responsible even when an agency sends for them.

Which email flows should we build first?

Start closest to revenue: a fast follow-up for new inquiries and appointment reminders to cut no-shows. Ecommerce stores should add abandoned cart early. Then build a welcome series, nurture for unbooked leads, review requests and win-backs for past customers.

Can you work in GoHighLevel or our own CRM?

Yes. We run email inside GoHighLevel and inside custom CRMs we build. Keeping email in the CRM means every message can be triggered by real activity and every result can be tied back to the contact, the lead source and the sale.

Can we email a list we bought?

We do not send to purchased or rented lists. People on them never agreed to hear from you, so complaints and bounces rise and your domain reputation suffers, which hurts every email you send afterward, including appointment confirmations.

How do you measure email results?

By what email produces: replies, booked appointments and sales by flow and campaign, alongside spam rate, bounces and list growth. Open rates are a weak signal because some mail apps load images automatically, so we treat them as a rough guide only.
